Important: Make sure you click save changes at the bottom of every form you enter data on.





    Initial Information about your Radioisotope Permit
  1. You are only allowed one radioisotope permit per Principal Investigator. As such, if you do see your permit already listed, please do not click to start a new one. Only if you do not already have a radioisotope permit should you start a new permit.
  2. After submittal, the Radiation Safety Officer will review your application and notify you if further information is needed. Your full application will be presented to the BUMC Radiation Safety Committee at the next scheduled quarterly meeting for approval. If approved, you will receive notification from the Radiation Safety Officer via internal mail. If necessary temporary approvals may be issued by the Radiation Safety Officer between Radiation Safety Committee meetings.

    1. Minimum Qualifications:
        to apply as Permit Holder:
      1. Have a faculty/staff position within the University or Boston Medical Center,
      2. Have a minimum of a Master of Science degree,
      3. Provide the Radiation Safety Office with a statement from previous supervisor which states that you possess at least 6 months of prior experience using radioisotopes of the type and quantity for which you are requesting authorization,
      4. Attend Basic Radiation Safety Training,
      5. Attend Laboratory Safety Training, and
      6. If animals will be used with radioactivity, you must attend the Animal Care Training and possess a valid approval from the IACUC Committee

        to apply as Laboratory Supervisor:
      1. Have a faculty/staff position within the University or Boston Medical Center,
      2. Have a minimum of a Bachelor of Science degree,
      3. Provide the Radiation Safety Office with a statement from previous supervisor which states that you possess at least 3 months of prior experience using radioisotopes of the type and quantity on the Permit,
      4. Attend Basic Radiation Safety Training,
      5. Attend Laboratory Safety Training, and
      6. If animals will be used with radioactivity, you must attend the Animal Care Training

        to apply as an Authorized User:
      1. Be at least 18 years of age,
      2. Be employed by the University or Boston Medical Center,
      3. Attend Basic Radiation Safety Training,
      4. Attend Laboratory Safety Training, and
      5. If animals will be used with radioactivity, you must attend the Animal Care Training




    I have applied for a radioisotope permit via RIMS, or already have a permit:
    On the initial radioisotope permit page you will see the following columns:
  1. Code: This is your permit code. If you click on the link, you will be brought to your permit contents. More on this below in the My Permit section.
  2. Created: The date your permit was created, or if it was imported into RIMS, the date of import.
  3. Last Modified: The date your permit was last modified. Note that this is the date the permit was last modified and saved, not necessarily the last time it was submitted to the Radiation Safety Officer.
    1. Submission Status: The status of the most recent submission of your permit
    2. Unfinished: Your permit has been saved, but not submitted to the Radiation Safety Officer
    3. Pending: Your permit has been submitted to the Radiation Safety Officer, but has not been acted upon yet
    4. Accepted: Your permit has submitted to the Radiation Safety Officer, and its changes have been accepted
    5. Declined - Resubmission Required: Your permit has been submitted to the Radiation Safety Officer, but was declined
  4. Delete If available, will allow you to delete an application that has not been submitted
  5. Archives If available, will allow you to view in read-only format your previous permit submissions

    If you have submitted and received a response back on your permit, there may be two additional links listed under the Submission Status column:
  1. Reviewer Comments: You can view any comments the Radiation Safety Officer might have in response to your permit submittal
  2. Print Summary: Will allow you to print your permit summary that must be displayed in your lab. Permit summary will be from your most recently accepted submission.




    I am new to the radioisotope permit process:

    Important: Make sure you click save changes at the bottom of every form you enter data on. Note:*All permits are initially designed to allow access to only the Permit Holder. In order to add additional users, the Permit Holder will need to login to RIMS and select "Add a primary user" or "Add a secondary user," located under the RIMS Access heading. Enter the BU Alias of the new user (not the '@bu.edu' portion) into the pop-up window that appears. A primary user will have the same access as the Permit Holder, which includes entering and submitting information. A secondary user will be able to enter information, but will not be able to submit.
  1. Before you begin, please ensure that all required information has been entered into the "Information about the PI" form in the PI Profile on the RIMS homepage
  2. Also, please ensure that "Radioactive Materials" and any other applicable activities are checked in the "Declare your activities" form
  3. Finally, ensure that all your personnel and locations have been added to the "Identify your personnel" and "Identify your locations" lists, respectively. This will greatly cut down on the time spent entering your permit data
  4. From your RIMS homepage, select "Radioisotope Permit"
  5. Click on "Click here to start a new Radioisotope Permit"
  6. A new permit application will be created and displayed on the screen
  7. On the "Principal Investigator" form, which is the initial form shown, ensure that all required information is complete
  8. At the bottom of the page, click "Save Changes" to save this form.
  9. Use the left hand side to navigate through the forms to click on the "Rad Permit" link. Note that right now, the "Principal Investigator" form is highlighted, and the only other form you can click on is "Rad Permit"
  10. Follow the instructions to start your permit

  14. Once you are finished with all changes, select "confirm your submission" at the bottom of the screen. This will take you to a summary page of your submission, and you must select the black button "Confirm Submission" to send your completed form to the Radiation Safety Office. If you would like to write comments to the Radiation Safety Officer who will be reviewing your application, you may do so by following the "Attach a cover sheet" link before you submit your application


    Change information about the permit holder
  1. After following the steps above, the form that opens is the Principal Investigator form. Notice that "Principal Investigator" is highlighted in the toolbar on the left-hand side of the screen.
  2. Enter the correct information into all fields with a red asterisk (*).You may need to use the inside scroll bar to see all data fields. Required information for the Principal Investigator is Emergency Phone, Department, School/College, Address, Office Phone, and Lab Phone. Change this information as is necessary.
  3. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Start, renew, or amend your permit
  1. Inside your permit (via clicking on your permit code), select "Rad Permit" from the left-hand side of the screen.
  2. Look for "Type" followed by three options: New Application, Renewal, and Amendment. Select the appropriate type of application.
  3. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Change your lab supervisor
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Scroll down until you see the heading "Lab Supervisor."
  3. Enter the correct information into all fields with a red asterisk (*). These are First and Last Name, Phone, Highest Degree and Specialty, Institution where this degree was obtained, and E-mail.
  4. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    If you begin to work with/stop working with animals:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Scroll down until you see the heading "Animal Use."
  3. Change the selection for the question "Will the radioactive material be used in Animal Studies?" to the correct response.
  4. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Change the type of waste generated:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Scroll down until you see the heading "Waste to be generated."
  3. Change the selection for each type of waste to the correct response.
  4. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Change information about authorized users:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Authorized Rad Users."
  3. The table at the top of the screen shows all users listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all users.
  4. To select a user, click on the + button to the left of the user's last name. The user should now be highlighted in yellow.
  5. Enter the correct information into all fields with a red asterisk (*).You may need to use the inside scroll bar to see all data fields. Required information for all users is First and Last Name, BU ID, BU E-mail, Phone, Basic Training Date, and Refresher Training Date. If you do not know the Basic Training Date, you can enter the Refresher Training Date in this field as well. Change this information as is necessary. To locate BU ID, enter the user's BU e-mail, and press the black button "Validate."
  6. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Add an authorized user:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Authorized Rad Users."
  3. The table at the top of the screen shows all users listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all users.
  4. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Add Authorized Rad."
  5. A blank form will appear. We recommend you use the "Select personnel from your PI list" button for easy adding. Enter the correct information into all fields with a red asterisk (*).You may need to use the inside scroll bar to see all data fields. Required information for all users is First and Last Name, BU ID, BU E-mail, Phone, Basic Training Date, and Refresher Training Date.
  6. Begin by selecting the "BU Email" field and entering the user's e-mail address, without the @bu.edu part. To locate First Name, Last Name, and BU ID select the black button "Validate." You may need to use the inside scroll bar to see the "Validate" button.
  7. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Delete an authorized user:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Authorized Rad Users."
  3. The table at the top of the screen shows all users listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all users.
  4. To select the user to be deleted, click on the + button to the left of the user's last name. The user should now be highlighted in yellow.
  5. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Delete."
  6. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Change information about an isotope:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Isotope."
  3. The table at the top of the screen shows all isotopes listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all isotopes.
  4. To select an isotope, click on the + button to the left of the name of the isotope. The isotope should now be highlighted in yellow.
  5. Enter the correct information into all fields with a red asterisk (*).You may need to use the inside scroll bar to see all data fields. Required information for all isotopes is Maximum Ordering Limit, Maximum Possession Limit, Typical Amount Used at One Time, Chemical Form(s), and Instruments available to detect contamination. Change this information as is necessary.
  6. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Add an isotope:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Isotope."
  3. The table at the top of the screen shows all isotopes listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all isotopes.
  4. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Add Isotope."
  5. A blank form will appear. Enter the correct information into all fields with a red asterisk (*).You may need to use the inside scroll bar to see all data fields. Required information for all isotopes is Maximum Ordering Limit, Maximum Possession Limit, Typical Amount Used at One Time, Chemical Form(s), and Instruments available to detect contamination.
  6. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Delete an isotope:
  1. Select "Rad Permit" from the toolbar on the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Isotope."
  3. The table at the top of the screen shows all isotopes listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all isotopes.
  4. To select the isotope to be deleted, click on the + button to the left of the name of the isotope. The isotope should now be highlighted in yellow.
  5. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Delete."
  6. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Add a use location:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Use Location."
  3. The table at the top of the screen shows all locations listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all locations.
  4. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Add Use Locations."
  5. A blank form will appear. You may need to use the inside scroll bars to see all data fields. Required information for all locations is Building and Room.
  6. We recommend you use the "Select from PI locations" button for easy adding. However, if you don't, select the black "Select Building" button. A new window will open. Use the box at the top of the window to search for the desired building by entering the name of the building and selecting the "Search" button to the right of the box. Alternatively, you can scroll though the list of buildings, selecting "Next" at the top of the page to see more options. Once you have found the correct building, select the arrow button () to the left of the name of the building.
  7. Repeat this process with the room number.
  8. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."

    Delete a use location:
  1. Select "Rad Permit" from the left-hand side of the screen.
  2. Underneath "Rad Permit," select "Use Location."
  3. The table at the top of the screen shows all locations listed on the permit. You may need to use the small scroll bar on the right hand side of the table to see all locations.
  4. To select the location to be deleted, click on the + button to the left of the name of the location. The location should now be highlighted in yellow.
  5. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Delete."
  6. Using the outside scroll bar, scroll down to the bottom of the screen and select the black button "Save Changes."
